CMSIT BUSINESS GUIDE
How to compare IT support costs in NSW
By CMSIT · Published 20 October 2026
A monthly IT support price is only useful when you know what it covers. Compare the same users, devices, systems and service hours before choosing a provider. This guide helps Sydney and NSW business owners prepare an IT support brief and assess the full cost of a proposal.
Start with the support model
Managed IT usually combines an agreed support scope with ongoing maintenance and monitoring. Ad hoc support is charged for individual work. Co-managed support covers defined responsibilities alongside your internal IT team. Ask which model the quote describes and which responsibilities stay with your business.
For example, a business with 20 staff, two sites and Microsoft 365 should compare proposals for those same sites, users and cloud services. A cheaper headline fee may leave licensing, backup, onboarding or onsite visits outside the monthly charge.
What changes the cost?
- People and devices: confirm whether pricing is per user, device, site or an agreed fixed scope. Include shared devices and remote staff.
- Service hours: distinguish normal helpdesk hours from after-hours assistance and security monitoring. They are different services.
- Systems: identify servers, cloud subscriptions, business applications, networking and vendor coordination.
- Onsite requirements: discuss each NSW location, travel charges and when a visit is appropriate.
- Risk and recovery: specify endpoint protection, identity controls, backups, retention and restore testing.
- Starting condition: inherited issues, missing documentation or a provider handover may require separate work.
Compare the complete proposal
| Cost area | What to ask |
|---|---|
| Onboarding | What setup, documentation and handover work is included? |
| Recurring support | Which users, devices, systems and tasks are covered? |
| Licences and tools | Which subscriptions are included or billed separately? |
| Projects and onsite work | What triggers a separate quote, travel charge or hourly fee? |
| Terms and changes | How do team changes, renewals, notice periods and GST affect the total? |
Response targets need context
Ask how incidents are prioritised and when a response target applies. A response time is not a guaranteed resolution time. Check escalation, communication, service exclusions and who coordinates third-party vendors. If your business needs after-hours cover, have it written into the proposal.
Prepare for a provider change
Start with renewal dates, an application list, current licence ownership and a summary of recurring issues. Agree who transfers documentation, administrator access and backup information. Share access through an agreed secure process, not an enquiry form. Plan handover work around your operating hours.
A brief that produces a useful quote
Tell CMSIT your approximate team size, NSW locations, main systems, business hours and the problem you want solved. Say whether you need a complete managed service or help alongside an existing team. An outline is enough for the first discussion; the assessment and proposal establish scope and costs.
