CMSIT BUSINESS GUIDE
How to plan remote staffing costs for your business
By CMSIT · Published 20 October 2026
A remote staffing quote should describe the work, the working arrangement and the technology needed to deliver it. Comparing only an hourly rate can miss recruitment, supervision and onboarding costs. Start with a defined role and compare the complete arrangement.
Define the work before comparing rates
Write down the repeatable tasks you need covered, the skills required and the person who will supervise the role. Separate routine work from decisions that need a manager or specialist. Administration, customer service and technical support need different experience, training and access.
For example, a customer service role covering email and phone enquiries during Sydney business hours needs a clear coverage window, escalation rules and access to the relevant systems. A proposal for occasional administration is not a like-for-like comparison, even if both are described as a virtual assistant.
What belongs in the cost plan?
| Cost area | What to clarify |
|---|---|
| Recruitment | Role scoping, candidate search, screening and selection responsibilities. |
| Staffing | Skills, hours, work location, coverage and the proposed arrangement. |
| Onboarding | Training, documentation, account setup and a named supervisor. |
| Technology | Devices, connectivity, software licences, MFA and IT support. |
| Ongoing management | Reporting, reviews, quality checks, leave and absence coverage. |
| Changes and exit | Notice, replacement arrangements, handover and access removal. |
Make working hours explicit
Agree the time zone, weekly hours, overlap with your NSW team and the process for changing coverage. Discuss holidays, absences and escalation rather than assuming continuous availability. Confirm the arrangement and any associated charges in the proposal.
Plan system access before day one
- List the applications and information the role needs.
- Agree approved devices, individual accounts and MFA.
- Use permissions appropriate to the tasks and document approvals.
- Define who provides technical support and handles incidents.
- Plan how work is handed over and access is removed when the role changes or ends.
Remote staffing and managed IT are related, but do not assume every security or support service is included. Ask what each party is responsible for, where information is accessed and what controls apply to the proposed role.
Compare outcomes as well as price
Choose practical measures that fit the job: response quality, completed work, accuracy or agreed turnaround. Allow for training and a review period. Avoid promising a fixed productivity improvement before the tasks, systems and baseline have been assessed.
Prepare your role brief
Share the main tasks, required skills, weekly hours, target start date, systems used and who will supervise the work. Include a budget range if you have one. Do not send payroll records, customer data or passwords through the enquiry form.
